Compliance & Insurance

NSW strata law is complex. We keep your scheme on the right side of it.

The Strata Schemes Management Act 2015 and its regulations impose significant obligations on owners corporations. Non-compliance can result in penalties, NCAT orders or, in serious cases, personal liability for committee members. Our compliance team monitors legislative changes, maintains your compliance calendar and acts before deadlines — not after.

Building insurance for a strata scheme is not straightforward. We work with specialist strata insurance brokers to ensure your building is insured for its full replacement value, your public liability cover is adequate and your policy schedule is kept current. When a claim arises, we manage the process from first notification to settlement.

Meetings & Governance

The AGM is the most important governance event in your scheme's calendar. Poor notice, incorrect motions or inadequate financial disclosure can invalidate resolutions and expose the owners corporation to legal challenge. Our meetings team has run hundreds of AGMs and knows exactly what is required under the Act.

We prepare all meeting documentation — notice, agenda, financial statements, motion papers, proxy forms — issue them within statutory timeframes and attend in person or via video. Minutes are prepared promptly and distributed to all owners. Committee meetings are managed with the same rigour.

Developer Setup

Get the scheme right from day one. Future owners will thank you.

The initial period of a new strata scheme — from registration of the strata plan to the first AGM — is the most legally sensitive period in the scheme's life. The developer is legally required to appoint a strata managing agent, establish the owners corporation's funds and ensure the scheme is governed correctly before it is handed over to the owners.

Strata Solutions Group provides initial period strata management services to developers across Greater Sydney. We protect the future owners corporation's interests while meeting the developer's obligations under the Act, and we ensure a seamless transition to owner-controlled governance at the first AGM.

Common questions about our services

What financial reporting do you provide?

We provide monthly income and expenditure statements, balance sheet, levy ledger, bank reconciliation, cash flow summary and a year-to-date budget variance report. All reports are available in real time via the owner portal.

Do you handle capital works fund planning?

Yes. We coordinate with accredited quantity surveyors to prepare 10-year capital works fund plans as required under Schedule 2 of the Strata Schemes Management Act 2015 (NSW). We also assist committees with levy special levies or loan structures when significant works are required.

How do you manage maintenance requests?

Owners and residents submit maintenance requests via the owner portal 24/7. Our team triages each request, dispatches approved trades from our licensed contractor network and provides status updates. Emergency requests are escalated immediately with on-call support available outside business hours.

What compliance obligations do you manage?

We manage all compliance obligations under the Strata Schemes Management Act 2015, including by-law enforcement, WHS obligations for common property, fire safety statement lodgement, essential services maintenance, building insurance renewals, public liability cover and defect bond management for new schemes.

Can you manage our AGM and committee meetings?

Yes. We handle the full meeting lifecycle: preparing and issuing notices within statutory timeframes, preparing financials and motion papers, attending and chairing or clerking the meeting, preparing minutes, and following up on resolutions. We use digital voting tools to maximise participation.

What is your owner portal?

Our owner portal is a web-based platform accessible from any device. Owners can view their levy balance, pay levies, download financial reports and meeting minutes, lodge maintenance requests, review the by-laws, and access the building insurance certificate. Committee members have an elevated view with access to live financial data and work orders.

Do you manage strata for new developments?

Yes. Our developer setup service covers the initial period from strata plan registration through to the first AGM. We prepare the initial by-laws, set up the trust accounts, establish the admin and capital works funds, manage the defect notification period and ensure the scheme is handed to the owners corporation in full legislative compliance.

Are there any additional fees beyond the management fee?

Our standard management agreement is all-inclusive. There are no separate charges for routine correspondence, levy arrears notices, committee meetings, maintenance request processing or portal access. Any disbursements specific to your scheme (such as legal proceedings, specialist reports or NCAT applications) are disclosed and approved by the committee before any cost is incurred.
