Tailored Proposal
Every scheme is different. A 12-lot residential building in Surry Hills has very different management needs from a 200-lot mixed-use development in Parramatta. We don't have a standard price list because we don't believe in standard management.
Based on the transition review, we prepare a fixed-fee proposal specific to your scheme. The fee covers all standard management activities — meetings, correspondence, financial reports, levy management, maintenance coordination and portal access. There are no per-email fees, no charges for routine phone calls and no surprise disbursements.
Your committee receives the proposal via email. Once you've reviewed it and decided to proceed, we proceed to the next step.

Managed Handover
Once the owners corporation has passed the resolution to appoint Strata Solutions Group — either at your AGM or a specially convened EGM — we take over the transition completely.
We issue the formal notice of termination to the outgoing manager, coordinate the transfer of all trust funds (your admin fund, capital works fund and any special levies), arrange the transfer of all scheme records including the strata roll, levy ledger, maintenance register, by-laws and insurance policies.
If the building insurance is due for renewal during the transition, we handle this as a priority. We also set up your scheme on our platform — creating the owner portal, uploading all scheme documents and configuring financial reporting.
Throughout this phase, your dedicated strata manager keeps your committee updated at every milestone.

From the commencement date, your scheme is live. Owners receive their portal login credentials and can immediately access levy balances, financial reports and maintenance request submission.
Your committee has a direct line to your dedicated strata manager — a named person, not a call centre. For the first 90 days, we schedule a monthly check-in with the committee chairperson to address any questions and ensure the transition is running smoothly.

Questions about switching strata managers
How do we vote to change strata managers?
Under the Strata Schemes Management Act 2015 (NSW), the owners corporation must pass a resolution at a general meeting to appoint or terminate a strata managing agent. This can be done at your AGM or at an EGM called for this purpose. You need to give proper notice (typically 7 days for committee meetings, 14 days for general meetings) and the motion needs a simple majority to pass. We can advise your committee on the exact procedure for your scheme.
Can we terminate our current manager before their contract expires?
It depends on the terms of your current strata management agreement. Most NSW strata management agreements include a termination clause with a notice period (typically 30–90 days) or allow termination for cause. Some older agreements have fixed terms. We review your current agreement as part of our free preliminary review so you know exactly what your options are before making any decision.
What happens to our trust funds when we switch managers?
The outgoing strata manager is legally required to transfer all trust funds held on behalf of your owners corporation to the new manager within 28 days of termination under the Property and Stock Agents Act 2002 (NSW). We coordinate this transfer directly with the outgoing manager and your scheme's bank. You will receive a trust account reconciliation statement confirming the amounts transferred.
Will there be a gap in our insurance coverage during the transition?
No. We coordinate with your insurance broker (or arrange a new policy) to ensure continuous coverage throughout the transition. Building insurance for common property is a legal requirement under the Strata Schemes Management Act, and we treat it as a priority on every handover.
How do owners access the new portal?
Once your scheme goes live, we send a welcome email to every lot owner with their portal login details. Owners can activate their account and immediately view their levy balance, scheme documents and contact information. If your current manager does not have email addresses for all owners, we work with what we have and follow up by post.
What if we have ongoing legal matters or disputes when we switch?
Ongoing NCAT matters, legal proceedings or significant disputes are noted during the handover review and managed as a priority from day one. We request a full litigation and dispute register from the outgoing manager, review the status of each matter, and engage your existing legal representatives or our panel firms as appropriate.
